“Kaizen Training & The 5 S Strategy”

The 5 S strategy reduces waste, simplifies work environments and improves efficiency, safety and quality. The strategy is based on 5 Japanese words beginning with S- Seir, Seiton, Seiso, Seiketsu and Shitsuke- and is part of the Kaizen method of training and improvement. So what are these 5 steps and how can you implement them in your workplace?

 


Step One - 'Sort'

                             The first step is to get rid of clutter and any items that should not be in the work area. An effective way of identifying such items is by using a tagging system, providing a visual stimulus and allowing for evaluation of the items. It's simple really, each item in the work area that is not essential for completing your job is tagged with a red dot, then once this has been completed all the items are moved to a holding area. Then occasionally used items are stored elsewhere and anything broken, excess, or useless is discarded.

 


Step Two - 'Set'

                           The setting step is related to finding efficient and effective storage areas. Effective methods of organisation include modular shelving and cabinets, painting sections of floor and using shadow boards. By having a place for everything, you and your colleagues can save the time you spend every day searching for items to help you carry out tasks and activities.

 


Step Three - Shine 

                                 Once unnecessary items and clutter have been removed, then the next step is to clean the work area, which not only leaves a healthy work environment, but also creates ownership of the space and pride in your and your colleagues, work areas. Daily follow up is important to this step, and by keeping a tidy work place at all times you allow others to notice malfunctions and issues such as breakages and spills, more quickly.

 


Step Four - 'Standardise'

                                           With the first three steps in place it is important to set minimum standards for the continuation of this and ensure all workers take an active role in this. Simple.


Step Five - 'Sustain

                                  Don't let all that hard work go to waste! It is hard to change lifelong habits, but by focusing on the 'sustain' step of the strategy, you ensure people uphold the work that has been done and create a more positive work environment. Improved safety, moral and productivity will be the rewards.
